1. Introduction
Technically HR is a companion mobile application for the Technically HR Human Resource Information System, also referred to as the HRIS. The mobile app is intended for use by employees, supervisors, managers, human resources personnel, and other authorized users of an organization that has deployed the Technically HR software.
The mobile app does not operate as a public standalone service. It connects to the HRIS system used by the organization that the user works for or is associated with.
This Privacy Policy explains what information may be accessed, processed, transmitted, or displayed through the Technically HR mobile app, how that information is used, and what choices may be available to users.
2. Role of the Mobile App
The Technically HR mobile app functions as a secure access point to the employer's or organization's HRIS system.
The app itself does not independently create, sell, rent, or monetize employee personal data. Any HR-related information shown in the app is provided by, stored in, or managed through the organization's own Technically HR system.
Depending on how the organization configures the HRIS system, the app may allow authorized users to view or interact with HR information such as employee profile information, work information, attendance or time clock information, leave requests, shift or schedule information, HR notifications or announcements, supervisor or manager approvals, and other HRIS features made available by the organization.
The exact data available in the mobile app depends on the organization's configuration, user permissions, and HR policies.
3. Information the App May Access or Process
The mobile app may access, transmit, or display information from the organization's HRIS system.
Account and Login Information
The app may process login-related information such as username or email address, authentication tokens, user role or permission level, and organization or server connection information. This information is used to authenticate the user and provide access to the correct HRIS environment.
HRIS Data Displayed from the Organization's System
Depending on user permissions, the app may display HR-related information stored in the organization's HRIS system, such as name, employee ID or internal employee reference, job title, department, team, supervisor information, attendance status, clock-in and clock-out records, leave balances or leave requests, shift or schedule details, and HR announcements or notices. This data is controlled by the organization using the HRIS system.
Device and Technical Information
The app may process limited technical information necessary for security, troubleshooting, and app functionality, such as device type, operating system version, app version, basic diagnostic or error information, network connection status, and push notification token if push notifications are enabled.
4. Information the App Does Not Collect for Advertising or Sale
Technically HR does not use mobile app data for advertising, user profiling, or selling personal information.
- The app does not sell employee data.
- The app does not share employee data with advertising networks.
- The app does not track users across third-party apps or websites for advertising purposes.
- The app does not use employee HR data for targeted advertising.
5. How Information Is Used
Information accessed or processed through the mobile app may be used to authenticate users, allow users to access their organization's HRIS system, display authorized HR information, submit or approve HR-related actions where enabled, provide attendance, leave, schedule, or notification features, help secure the HRIS system, troubleshoot app or service issues, and maintain compliance with employer policies, labor requirements, or internal company procedures.
The organization using Technically HR is responsible for determining which HRIS features are enabled and which users may access specific information.
6. Data Storage
The Technically HR mobile app is primarily a client application. HR information is generally stored on the organization's HRIS server, not permanently stored inside the mobile app.
The app may temporarily store limited data on the device for login sessions, security tokens, preferences, or performance purposes. This may include login session tokens, app settings, cached display data, and server connection settings.
Users may remove locally stored app data by logging out, clearing the app's data through the device settings, or uninstalling the app. However, uninstalling the mobile app does not delete HR records stored in the organization's HRIS system.
7. Data Sharing
Technically Superior Solutions does not sell HRIS user data.
Data may be shared or processed only as needed for providing the Technically HR service to the customer organization, hosting, maintaining, or supporting the HRIS system, troubleshooting technical issues, complying with applicable laws, legal obligations, or authorized requests, and protecting the security and integrity of the HRIS system.
If the organization uses third-party infrastructure, hosting, notification, email, backup, or security services, data may be processed through those services as required for the HRIS system to function.
The customer organization is responsible for its own HR data, employee records, access permissions, retention policies, and compliance obligations.
8. Push Notifications
If enabled by the organization and allowed by the user's device settings, the app may use push notifications to notify users about HR-related events, such as announcements, attendance reminders, leave request updates, approvals, or other system messages.
Push notifications may require the use of platform services such as Firebase Cloud Messaging for Android and Apple Push Notification service for iOS. Users can disable push notifications at any time through their device settings.
9. Location Data
The Technically HR mobile app does not collect precise location data unless a specific organization-enabled feature requires it and the user grants permission. If location-based attendance or clock-in validation is enabled in the future, the app will request device permission before accessing location information, and the organization should disclose how that location data is used.
10. Camera, Photos, Files, and Device Permissions
The app may request access to device features only when required for enabled HRIS functions. For example, a future feature may allow uploading a document, profile photo, or supporting HR file. When these permissions are used, they are used only for the requested HRIS function and not for advertising or unrelated tracking.
11. User Rights and Data Requests
Because HR records are managed by the user's employer or organization, users who want to access, correct, export, or delete HR-related information should contact their employer, HR department, supervisor, or the organization administrator responsible for the Technically HR system.
Technically Superior Solutions may assist the customer organization with technical support, but it may not be able to directly modify or delete employee HR records without authorization from the organization that controls the data.
12. Account Deletion and Access Removal
The Technically HR mobile app does not independently create public user accounts. User access is usually created, managed, disabled, or removed by the organization's HRIS administrator.
Users who want their account disabled, removed, or deleted should contact their employer, supervisor, HR department, or organization administrator. If the request relates to ending employment, resignation, or separation from the organization, the user should follow the employer's resignation or offboarding process through their supervisor or HR department.
Uninstalling the mobile app removes the app from the device but does not delete HR records from the organization's HRIS system.
13. Data Retention
HR data retention is controlled by the organization using the Technically HR system and may depend on employment requirements, legal obligations, company policies, audit needs, payroll requirements, and local labor laws.
Limited app-related technical data, such as logs or diagnostic information, may be retained only as needed for security, troubleshooting, maintenance, or legal compliance.
14. Security
Technically HR is designed to protect HRIS access using reasonable technical and organizational safeguards, which may include secure authentication, role-based access controls, encrypted network communication where properly configured, server-side authorization checks, audit logging for supported HRIS actions, and administrative access controls.
No system can guarantee absolute security. Users should protect their login credentials and report suspected unauthorized access to their employer or system administrator.
15. Children's Privacy
Technically HR is intended for workplace and organizational HR use. It is not intended for children or for general consumer use. The app is not directed to children and does not knowingly collect personal information from children for consumer purposes.
16. International Users
Depending on where the customer organization operates, HR information may be processed in the country where the organization hosts or operates its HRIS system, or where its service providers are located. The organization using Technically HR is responsible for ensuring that its use of the HRIS complies with applicable privacy, employment, and data protection laws.
17. Changes to This Privacy Policy
This Privacy Policy may be updated from time to time to reflect changes in the app, HRIS features, legal requirements, platform requirements, or business practices. When changes are made, the updated version will be posted at this Privacy Policy URL or made available through the HRIS system.
